What Is a Hotel PMS and Why Every Property Needs One
A property management system, or PMS, is the operating system of a hotel. It holds every room, rate, booking and guest bill in one place, so the front desk, housekeeping and accounts all work from the same information.
What a PMS does every day
- Shows which rooms are free, occupied, reserved or under maintenance
- Takes bookings and prevents the same room being sold twice
- Applies the right rate plan for the date, room type and guest
- Checks guests in and out and keeps their bill (the folio) up to date
- Produces occupancy, revenue and collection reports
Life without a PMS
Many smaller properties still run on a register, a whiteboard and a spreadsheet. It works until the hotel is busy: two staff take bookings for the same room, a minibar charge never reaches the bill, or the owner cannot see tonight's occupancy without calling the desk.
The folio is the heart of it
Every charge during a stay — room nights, food, laundry, extra beds — is posted to the guest folio. At check-out the bill is already complete and correct, instead of being assembled from slips of paper.
Restaurants and cafés too
If the property has a restaurant or café, a PMS that includes a point-of-sale lets staff post a meal straight to the guest's room bill. That single link removes one of the most common sources of lost revenue.
What to look for
- Live room availability with double-booking protection
- Flexible room types and rate plans
- Fast check-in and check-out with an accurate folio
- Restaurant POS that can charge to the room
- Role-based access for front desk, managers and accounts
- Reports you can trust without exporting to Excel
