Faster Check-In and Check-Out: Front Desk Tips for Hotels
Check-in is the first impression and check-out is the last. Both should be quick, friendly and correct. Most delays come from missing information and bills that have to be assembled at the last minute.
Before the guest arrives
- Review the day's arrivals each morning
- Confirm room assignments and that each room is clean and ready
- Note special requests: early arrival, extra bed, dietary needs
- Keep guest details from the booking so they are not asked twice
At check-in
Verify identity, confirm the stay dates and rate, take any deposit and hand over the key. With details already in the system this takes a couple of minutes.
During the stay
Post every charge — restaurant, room service, laundry, extras — to the guest folio as it happens. This is the single most important habit for a fast check-out.
At check-out
If the folio is up to date, check-out is simply reviewing the bill with the guest, taking payment and closing it. No phone calls to the restaurant, no searching for slips.
Common bottlenecks
- Charges reported on paper and entered later
- Rates negotiated verbally and not recorded
- Several guests checking out at once with only one person at the desk
How D&D HotelOS helps
D&D HotelOS keeps guest details, room assignments and a live folio for every stay. Restaurant and café bills can be charged straight to the room, so the bill is complete at check-out and the desk can close it in moments.
